Setup and workflow with Holded
Unite your operations and your accounting by sending purchase and sales invoices to Holded automatically, in a single click. When you connect both tools, the system creates supplier and customer records using the tax ID and links your analysis accounts directly to your chart of accounts so your expenses always reconcile. The result: real, instant control of your costs, with no paperwork or extra admin.
This video shows you, step by step, how to make the initial connection and how to send your first purchase and sales invoices. You can also follow the step-by-step guide below the video tutorial.
Step by step: integrating with Holded
📢 Important: Before you start, make sure you have administrator access in Holded, your suppliers' and customers' tax IDs correctly filled in in tSpoonLab, and your chart of accounts defined in Holded so you can complete the integration.
Getting the API Key in Holded
Go to your Holded account.
Open Settings > More > Developers.
Click the API section and select the "New API Key" button.
Give the key a name (e.g. "Connection tSpoonLab") and copy the generated token to use in the next step.
Linking with Holded and configuring taxes
In tSpoonLab, open the options dropdown and select "Settings".
Scroll to the bottom of the record to find the Integrations section and enable the Holded checkbox. Paste the token in the API Key field and define the tax rates (VAT), withholdings, and the mismatch account by clicking the three dots on each field.
Analysis accounts
Open the "Options" dropdown and select "Analysis accounts" from the dropdown.
Select the account you want to link, click the three-dot menu, and click "Edit analysis account".
In the "Account in Holded" field, select the equivalent expense account from your chart of accounts to make sure the financial data transfers exactly.
Sending purchase invoices
Open the record of the Supplier whose invoice you want to link with Holded from "Management" > "Suppliers", find the supplier, and scroll down in the record. Click the "Latest invoices" dropdown and select "Add invoice".
On the invoice already loaded and matched to delivery notes, click the three-dot menu and select "Send to Holded". The system identifies the supplier by tax ID; if it does not exist in Holded, a new contact record is created automatically with all their details.
Sending sales invoices
Go to "Management" > "Customers", open the customer, and find the "Latest invoices" section. Reconcile the invoice with the corresponding delivery notes.
Select the closed invoice and, from the three-dot menu, click "Send to Holded".
The invoice appears immediately in your accounting with the configured breakdown of taxable bases and taxes.
📢 Important: Note that the system only allows sending invoices not yet marked as posted, to prevent duplicates in your accounting. If the integration errors out or the tax ID isn't recognized, check that the contact record in tSpoonLab has the correct tax ID format and that the Analysis Account has its Holded expense account assigned.
