Here's how to run the process step by step, to apply a bulk lock by area and by period:

How to access the lock function

To start the bulk data close in tSpoonLab, go to the top-right bar of the main screen and click the "Options" button. In the dropdown menu that opens, find the section called "Lock / Unlock".

Click the expand arrow that appears right next to it and select "Lock by period".

How to configure and apply the period lock

In the pop-up window, define the following parameters:

  • Period: select the month or time range you want to close.

  • Year: choose the corresponding year.

  • Section: tick the work areas you want to freeze (Purchases, Sales, Inventories, Transfers, Waste, or Supplier invoices).

Click "Accept" to apply the changes in bulk.

How to confirm the locked status

Once saved, every document and data entry belonging to the selected period will show a padlock icon.

From this point on, standard users cannot make any change to these records. Only user profiles with special editing permissions can modify them or reverse the lock if needed.

💡 Tip: When you finish your monthly or quarterly cost and stock closes, get into the habit of locking the period immediately. This keeps your Food Cost reports and variance analysis exact and free from unexpected changes while you work on the current month.

📢 Important: If a user reports they can't add a delivery note or correct a waste entry and the system shows a padlock icon, first check whether the document's date belongs to a period that's already globally locked. If an adjustment is needed, an administrator must go to the same route to temporarily unlock that segment.
