What Does Linking Supplier Items Mean?

Linking supplier items means connecting the products supplied by your vendors to the generic products registered in your tSpoonLab database.

This process centralizes purchasing information, ensures accurate cost assignment, and allows you to manage multiple purchase formats efficiently.
It also simplifies the creation of new products and guarantees that all data remains consistent and up to date across your account.


How to Link Supplier Items

Step-by-Step Guide to Link Supplier Items

1. Identify Unlinked Supplier Items

Go to the supplier’s profile in tSpoonLab and open the section called Other Supplier Items.
This section lists all items that have not yet been linked to a generic product in your system.


2. Link an Item to an Existing Product

In Other Supplier Items, click on the three dots next to the item you want to link.
Select Link Product.

In the pop-up window, search for the corresponding generic product from your product list.

Then, define the purchase format — for example:

  • Product: Extra Virgin Olive Oil

  • Format: 25L Jerrycan

Click Accept to complete the linking process.

The item will move to the Supplier Items list, marked with a small circle icon indicating that the system recognizes it as a linked product.


3. The Product Doesn’t Exist Yet

If the item does not appear in your product list:

Click the three dots next to the supplier item and select Create Product, shown in blue next to the product search bar.

Fill in the basic product fields:

  • Product Name

  • Unit of Measure

  • Product Family

Click Accept to add the new product to your generic product database.

Then, define the purchase format (e.g., bulk or packaged) in the same way as before.
The new product will now appear in the supplier’s item list, correctly linked to its purchase format.
